When to book a chauffeur for weddings, proms and summer events
Seasonal planning · Updated 10 October 2026 · 5 min read
The occasion calendar fills from the outside in: peak Saturdays, prom nights and big event weekends go first. Here is how far ahead to book, what to have ready, and how the fixed price protects you once the date is locked.

Why timing is everything with occasion travel
Everyday airport and business travel can usually be arranged at short notice. Occasion travel is different: weddings, proms and big event weekends all cluster into the same handful of dates, so the diary fills from the outside in. The popular Saturdays go first, and once they are gone they are gone.
Booking early does two things. It secures the car for your date, and it locks the fixed, all-in price — so a busy weekend never becomes a reason for the number to move.

The wedding season
Summer Saturdays are the first to book up, often many months ahead, so for a peak-season wedding the earlier you speak to us the better. Once the date is held, we plan the day with you rather than just turning up:
- The running order — pickups, the order of cars and who travels when, agreed in advance.
- Realistic photo buffers, with a quiet contingency if the schedule slips.
- Any multiple trips — ceremony, the couple's first drive, and shuttling close family between venues, all in one booking.
- The venue and its approach — rural and country-house settings across Northamptonshire, Rutland and the borders, with the route known in advance.

Prom and school-event season
Prom season runs through late spring into summer, and popular nights — along with the larger group arrangements — go first. For parents the draw is the reassurance: a vetted, enhanced-DBS chauffeur and a safe, known journey there and back. For students it is the grand arrival.
- Book the whole night end to end — pickup, venue and the return — so there is no late-night scramble for a lift.
- Tell us early if a group of friends want to travel together, so we can coordinate with other families and advise the right vehicle.

Summer events and busy weekends
Race weekends, shows and big fixtures turn ordinary roads into event-day traffic. The job then is less about the drive and more about the plan — arriving relaxed and leaving without the car-park queue.
For event days we map timings around the known bottlenecks and agree the drop-off and collection points in advance, so you are set down close to the gate and collected from a clear, pre-arranged spot.

A simple booking checklist
When you get in touch for occasion travel, having these to hand lets us confirm a fixed price and plan the day in one go:
- The date — and, for peak Saturdays, as much notice as you can give.
- Pickup point(s) and the venue or venues.
- Passenger numbers, so we put the right vehicle on it.
- Whether you need the return leg, or multiple trips across the day.
- Any group coordination with other families or guests.
The price is fixed and agreed before you book. Where a particular date carries a genuine difference — a bank holiday, say — it is set out in your quote up front, never added afterwards.

Common questions
How far ahead should I book a wedding car?
As early as you can, especially for summer Saturdays, which book up many months ahead. Once your date is held, the price is fixed and the day is planned with you.
When is prom season, and when should I book?
Typically late spring into summer. Popular nights and larger-group arrangements go first, so booking early is the way to secure both the car and a fixed price.
Does the price change for a peak date or a weekend?
No. The price is fixed and agreed before you book. Where a specific date carries a genuine difference, such as a bank holiday, it is set out in your quote up front rather than sprung on you afterwards.
Can you handle several trips on the same day?
Yes. We agree the running order in advance so every leg — ceremony, the couple's drive, family shuttles — is covered within one booking.
What do you need from me to plan an occasion booking?
The date, your pickup points and venue, passenger numbers, whether you need the return or multiple trips, and any group coordination. With those we confirm a fixed price and plan the timings.
